Bill.com Online Invoicing (Accounts Receivables)
Frequently Asked Questions

How can I get paid? Bank Transfers? PayPal? Credit Card?

Get paid directly from the customer's bank account (Bill.com ePayment), through PayPal, and/or by credit card. If you choose to get paid directly from the customer's bank account, payment will be deposited into your bank account in 2-3 business days (based on your receivables limits), and you pay a low flat fee.

If you choose to get paid through PayPal, payment is instantly available in your PayPal account, and you pay PayPal Standard fees.

If you choose to get paid by credit card, set up a Merchant Services account through our partnership with Vantage Card Services and PayTrace (low rates and a month-to-month agreement).

Does Bill.com support recurring invoices and recurring payments?

Yes! Bill.com helps you get paid faster by allowing you to set up recurring invoices and recurring payments. With recurring payments you can enable Bill.com to automatically charge your customer's credit card or pay via Bill.com ePayment (ACH from their bank) when an invoice is sent. You can also allow your customer to authorize automatic payment when an invoice arrives.

Does Bill.com support multiple invoice templates?

Yes, create as many invoice templates as you need.

Does Bill.com send customer invoices electronically or via mail?

Both! With Bill.com you can choose to have invoices sent to your customers electronically or choose to have us print and mail them on your behalf. Either way it's as easy as a click of a button.

Can I import my customers / items into Bill.com from my accounting system?

Yes, if you use QuickBooks Desktop or QuickBooks Online (but we don't support sub-customers).

For other accounting systems, you must manually enter your customers and items into Bill.com (for now). We'll be supporting more accounting systems later in 2011.

Can I export my invoices and payments from Bill.com to my accounting system?

Yes, if you use QuickBooks Desktop.

For other accounting systems, you must manually record your payments in your accounting system (for now), or you can contact us to request your payments in a CSV file. We'll be supporting more accounting systems later in 2011.

Can I let other people in the company see if customers have paid?

Yes, set up a Role to let others in the company view customers and invoices (Setup tab > Company > Roles > New). Then assign that Role to specific people in the company (Setup tab > Company > Users > New).  So instead of sending out an Accounts Receivable report, just have people log in to see if customers have paid.

Can I see the invoice payments entered in QuickBooks?

Yes. All the payments applied to invoices in QuickBooks will be synced in the invoice itself so the amount due in the invoice is always in sync with QuickBooks. However, the payment details (such as payment method and check number) will not be visible in Bill.com: just the payment amount applied to the invoice.

Do finances charges created in QuickBooks get synced to Bill.com?

Yes. If you charge customers for being late, QuickBooks creates a separate invoice for the amount of the finance charge. When you sync, Bill.com gets the original invoice and the finance charge invoice.  Both invoices appear on the website where customers log in to pay you.

Should I email my invoices from QuickBooks or Bill.com to get paid electronically?

Email your invoices from Bill.com.  Your customers will receive an email with a link to log in and pay their invoices (at the branded website we create for you). If you email the invoices from QuickBooks, your customers won't see a link to your branded website.

Can I email an invoice to more than one person, such as a client and their bookkeeper?

Yes. In QuickBooks, enter the second email address in the cc: field for the customer (click Customer Center > Customers & Jobs tab, then double-click the customer name). When you sync, Bill.com gets both email addresses.  When you email an invoice to the customer, we'll send it to both email addresses.

What does it mean that Bill.com has completed a SAS70 Type II Audit?

It's an assurance for you to breathe easy. We have been through a widely recognized audit of our control objectives and activities by a leading national CPA firm, and have demonstrated that we provide adequate controls and safeguards for your financial data.
