AP setup reference guide: The approver role

BILL offers pre-defined roles that allow various levels of accessibility and control. They enable your firm's team members and clients to participate in the Payables and Receivables processes without having to provide them access to bank accounts or accounting system functions.

The Approver role reviews bills and vendor credits entered in BILL before authorizing them for payment.

Approving bills

When you first log in as an Approver, you will be taken immediately to the Pending Approvals screen.

From there, you will be able to:

  • Upload or drag-and-drop documents into the inbox for us to process.
  • Review all pending bills and vendor credits.
  • View pending bill details, including invoice number, vendor, due date, amount, and more.
  • You can bulk or batch approve, or approve bills one at a time from this screen.
  • You can also click into each bill to view more detail.

Reviewing and approving bills

To approve or deny an individual bill:

  1. Click Approvals in the navigation menu to view bills.
  2. Approve directly from this screen or click into the bill to see more information. You can choose to deny the bill by clicking More Actions and then Deny.

To approve several bills at once:

  1. From the Approvals screen, select the bills you wish to approve using the checkboxes on the left.
  2. Click Approve.

Reviewing and approving bills with your mobile device

In your Inbox, you have several options for processing a document depending on your requirements.

Mobile apps for Apple and Android devices

  1. Download the free BILL AP/AR app in the app store.
  2. Log in
  3. On your Dashboard, you will see any bills needing approval.
  4. Click the link to view the bills to approve.

Approving bills

To quickly approve a bill, simply swipe it to the right.

For more details about the bill: 

  1. Tap a bill on the list to view details.
  2. Tap Approve at the bottom of the bill.

Denying bills

To quickly deny a bill, simply swipe it to the left and add a note explaining the denial reason.

For more details about the bill:

  1. Tap a bill on the list to view details.
  2. Click the 3 dots at the bottom of the bill and add a note explaining why you denied the bill.

Setting your personal email notification preferences

You can choose how often you would like to receive email reminders and alerts.

  1. Select settings.
  2. Select Email Preferences.
  3. Update the settings based on your preferences.
  4. Save your changes.
