Introducing centralized inbox management for BILL Multi-Entity
One of the biggest obstacles facing mid-market CFOs right now isn't access to capital. It's their own back-office infrastructure.
Running finance across multiple entities is manageable at two. At 10, it's a different job.
Finance managers at multi-entity companies spend hours every week on navigation alone — logging in and out of accounts, chasing invoices across separate email addresses, losing the thread on what's pending where.
Our US multi-entity customers told us this was their number-one problem. So we fixed it.
What's new
- One place to view bills across all entities.
- Single top-level email address so invoices route to one place for processing
- New API capabilities to process payments at scale and get real-time notifications
Who we’re building for
Multi-entity finance isn't a niche problem. It's the reality for so many businesses – including wealth advisory firms managing hundreds of client portfolios, private equity-backed businesses coordinating across a portfolio of companies, accounting firms handling AP for multiple client entities, franchise operators running books across dozens of locations, or real estate companies managing a property-by-property structure.
BILL Multi-Entity customers collectively manage more than 11,000 entities across the platform, with over $1.1B in payment volume flowing through parent-level accounts. What they all have in common: every entity is a separate financial unit with its own bills, own approvals, own inbox — and usually one finance team sitting in the middle of all of it.
"Without multi-entity, our client would have had to log in to five separate accounts every time we needed to approve bills — a huge waste of time. Now, with a single login, we can bulk approve bills across all entities in just minutes. It's streamlined our workflow, saved us countless hours, and eliminated unnecessary hassle." — Kayla Vankirk, Senior Manager, Eide Bailly Advisory LLC

A single inbox across every entity
Starting today, BILL Multi-Entity now includes a consolidated inbox and a single top-level email address for your whole portfolio. Every bill. Every US entity. One view. Available now for all Multi-Entity accounts.
Invoices route to one place for processing, so finance teams can stop navigating and start working.
Across our Multi-Entity customer base, some teams have told us they're saving up to 30–40% of their time on AP workflows.
"Multi-Entity has been a game changer. We're always trying to cut down our clicks. Having it all in one place and being able to focus when paying the bills has been really, really helpful. I'm able to pay my clients' bills 30% faster now." — Gretchen Lucas, Principal, Family Office Advisory Services, Baker Tilly
What 200 entities looks like in practice
Cristine Remington is an Accounts Payable Manager at AdvicePeriod, a financial advisory firm that manages client wealth across more than 200 entities in BILL.
At that scale, the logistics of AP were a job in themselves. Each entity had its own routing email. When invoices arrived, Cristine had to check them across multiple accounts — switching in and out, cross-referencing, making sure nothing slipped through. A bill could arrive in the wrong inbox entirely. Resolving it meant more context-switching, more time lost.
The actual approval decisions weren't the hard part. Getting to them was.
The consolidated inbox changed the workflow from the ground up. Instead of juggling 200 separate routing emails, Cristine now works mainly from 11 consolidated inboxes — one for each of her multi-entity client groups. Everything arrives in the right place, and she can action it without switching accounts.
"As someone who manages more than 200 entities in BILL, the new Multi-Entity inbox has transformed how I work. I used to juggle multiple inbox emails and switch between accounts just to process invoices. Now everything is right there in one place — no interruptions, no context-switching — giving me more time to focus on our clients." — Cristine Remington, Accounts Payable Manager, AdvicePeriod

Introducing new API capabilities
Alongside today's inbox launch, we've also expanded the BILL API platform.
Mass Payment API: Businesses running high-volume operations can now programmatically process up to 2,000 bills at once — up from 200. Teams can integrate this directly into their existing workflows, so large payment runs happen with speed and accuracy without adding manual steps.
Reimbursement webhooks: Customers and developers can now receive real-time, event-driven notifications about reimbursement activity and integrate them into their own systems. That means automated updates, instant user notifications, and streamlined processes built around the way your business already operates.
Export API: Retrieve your exported BILL record files through the API, so your team gets the data it needs without logging in to download. Keep reporting and downstream workflows running on autopilot — your scheduled exports can now be delivered programmatically.
Adding entities shouldn't add overhead
The teams that scale well aren't the ones working harder. They're the ones with better infrastructure underneath them.
BILL Multi-Entity is built for that — more entities, more complexity — without the chaos growing alongside it.
Multi-Entity Centralized Inbox is available now for all BILL Multi-Entity accounts. Log in to see it today, or talk to your account manager to learn more, or visit BILL Multi-Entity.
